Before booking your safari, we urge you to read through the terms and conditions of Raja Safari Holidays. Proceeding with your confirmation signifies that you fully understand and accept the details provided.

1. Trip Bookings & Reservations

  • Service Provision
    Raja Safari Holidays partners with trusted suppliers to offer transportation, accommodation, meals, excursions, and other services.

  • Information Accuracy
    We strive to provide accurate information in our itineraries based on the latest available details. However, we are not responsible for third-party changes or typographical errors.

  • Reservation Details
    Full names, nationality, and passport numbers (as they appear on your passport) are required to book flights and gorilla permits.

  • Preferences & Special Requests
    Please notify us of any special needs (dietary, medical, or disability-related) prior to confirming your safari. While we will do our best to accommodate such requests, they are subject to availability.

  • Availability & Confirmation
    All packages depend on availability and are confirmed only once booked. Early reservations are recommended, especially for accommodations with limited capacity.

  • Amendments to Bookings
    If you need to change your reservation, we’ll assist where possible. A modification fee may apply.

  • Itinerary Changes
    We reserve the right to adjust itineraries, accommodations, or transportation in case of unforeseen circumstances. Clients will be informed promptly of any changes.

 

2. Pricing

  • Included Services
    Prices typically cover accommodations, meals (as specified), park entry fees, guided tours, airport transfers, transportation, and bottled water in vehicles.

  • Excluded Expenses
    Costs such as flights, visas, additional drinks, tips, laundry, travel insurance, and personal items are not included.

  • Price Adjustments
    Prices are subject to change due to exchange rate fluctuations or rising costs. We’ll strive to minimize increases where possible.

 

3. Payment Terms

  • Booking and Confirmation
    To secure your tour, a 30% deposit of the program cost is required. Gorilla permits require full payment in advance at the time of booking.

  • Balance Payment
    The remaining balance must be paid no later than 40 days before your safari begins unless otherwise arranged.

  • Late Bookings
    For bookings made within 40 days of your arrival, full payment is required at the time of confirmation.

  • Cancellations
    If payment is not received as per the terms outlined, Raja Safari Holidays reserves the right to cancel your booking.

  • Payment Methods
    We accept payments via VISA credit cards, bank transfers, or cash before the start of the safari. Please note:

    • VISA credit card payments incur a 5% service charge.
    • Credit card transactions must be completed at least two months before the safari.
    • Traveler’s cheques are not accepted.
  • Transaction Costs
    Any fees related to international transactions or the 5% service charge for credit card payments are the responsibility of the client.

 

4. Cancellation Policy

  • Cancellation Charges
    If you need to cancel your booking, the following charges will apply based on the time of cancellation:
    • 60 days or more before arrival: 10% of the basic program cost.
    • 59–32 days before arrival: 25% of the basic program cost.
    • 31–8 days before arrival: 50% of the basic program cost.
    • 7–3 days before arrival: 75% of the basic program cost.
    • 48 hours or less before arrival: 100% of the basic program cost.

Raja Safari Holidays may deduct any expenses incurred from the payments already made.

  • Non-Refundable Items
    Please note that payments for gorilla permits and air tickets are non-refundable under any circumstances.

  • Unused Services
    Refunds will not be issued for unused services, late arrivals, or no-shows during the tour.

 

5. Execution of Your Tour

  • Driver/Guides
    Our tours are led by professional, English-speaking driver-guides. Only authorized drivers may operate our vehicles, and their decisions on routes and logistics are final.

  • Transportation
    Transportation is arranged based on group size and itinerary. While all vehicles are maintained to be roadworthy, we cannot be held responsible for delays, punctures, breakdowns, or damages caused by poor road conditions.

  • Accommodation
    Our accommodation options typically include twin or double-bedded rooms or tents with private bathrooms, where available. Single rooms may be offered for an extra fee, but availability cannot always be assured.

  • Hotel Substitutions
    We may replace your booked accommodation with an equivalent or superior alternative if necessary. If this is not possible, the next best available option will be suggested, which could incur additional costs.

  • Wildlife Viewing
    Observing animals in their natural habitat is a privilege, but wildlife sightings cannot be guaranteed. Please follow all safety guidelines and instructions provided by your tour guide or wildlife ranger to ensure a safe and enjoyable experience.

  • Gorilla and Chimpanzee Permits
    Holding a permit allows you to track gorillas or chimpanzees; however, sightings are not guaranteed.

  • Changes to Routes and Arrangements
    In the event of unforeseen circumstances like road closures, bad weather, or issues with accommodations or national parks, we may need to adjust routes or services. We will always strive to provide suitable alternatives when necessary.

  • Use of Subcontractors
    We may partner with trusted subcontractors to deliver part or all of your tour services.

  • Right to Refuse Participation
    To ensure the safety and comfort of all guests, we reserve the right to deny participation to anyone whose behavior may cause harm, inconvenience, or damage to others, property, or the environment. In such cases, no refunds will be issued, and any resulting expenses will be the responsibility of the participant.

 

6. Complaints

  • Reporting Complaints
    If you encounter any issues during your tour, please report them immediately to both our representative and the relevant service provider. We will do our best to address and resolve the matter promptly. If the issue remains unresolved, you must submit a written complaint within 30 days after the tour ends.

  • Unreported Complaints
    Raja Safari Holidays cannot accept liability for complaints that are not reported as per the procedure outlined above.

 

7. Liability

  • Efforts to Ensure Service Quality
    We strive to provide all services and arrangements for your safari as efficiently and accurately as possible. While we carefully select our service providers, Raja Safari Holidays is not responsible for errors or omissions made by these third-party suppliers.

  • Limitation of Liability
    Raja Safari Holidays is not liable for any loss, damage, or injury to persons or property during the safari.

  • Responsibility for Personal Belongings
    Although we take every precaution, we cannot be held responsible for any loss or damage to baggage or personal items or for associated costs.

  • Unforeseen Circumstances
    We are not liable for disruptions or compensation due to unforeseen circumstances beyond our control, such as:

    • Flight delays or cancellations
    • Force majeure events, including war, riots, civil disturbances, or natural disasters
    • Border closures, government actions, strikes, or epidemics
    • Road closures, extreme weather, theft, or mechanical issues with transport
  • Documentation Requirements
    It is the responsibility of travelers to ensure they have all necessary documentation, including valid passports, visas, travel permits, and health certificates, before starting their safari.

  • Health and Safety Precautions
    Guests are responsible for taking appropriate medical precautions and seeking advice well in advance of travel to ensure their health and safety during the safari.

  • Travel Insurance
    We strongly recommend obtaining comprehensive travel insurance before traveling to Uganda. This should cover medical emergencies, trip cancellations, loss of belongings, and other unforeseen situations.

  • Jurisdiction
    All claims related to your safari are subject to the jurisdiction of the courts in the country where the cause of action arises.
