  1. BOOKINGS
  1. Service Provision 
Raja Safari Holidays Ltd. collaborates with independent suppliers to provide transportation, accommodation bookings, restaurant meals, excursions, and other services.
 
  1. Information Accuracy
All information detailed in client itineraries is provided to the best of Raja Safari Holidays’ knowledge and based on the latest available information. Raja Safari Holidays is not liable for any changes made by third parties or for typographical errors.
 
  1. Reservation Requirements  
To reserve flights and gorilla permits, we require your full names as they appear on your passport, nationality, and passport number.
 
  1. Client Preferences and Special Requests 
Clients must inform Raja Safari Holidays of any preferences and special requests before confirming a safari. These may include medical needs, dietary requirements, or accommodations for disabilities. Raja Safari Holidays will strive to meet these requests where possible.
 
  1. Availability and Confirmation 
All packages are subject to availability and are not guaranteed until confirmed. Due to limited capacity at many lodges and hotels offered by Raja Safari Holidays, it is essential to make reservations well in advance of your planned trip.
 
  1. Amendments to Reservations 
If you wish to amend your reservation in any way, Raja Safari Holidays will make the preferred adjustment where practicable and possible, and confirm accordingly. An amendment fee relative to the actual costs may be charged and will be added to the total invoice.
 
  1. Changes to Itinerary 
Raja Safari Holidays reserves the right to change and re-adjust the tour schedule, transportation, accommodation, and services indicated in the itinerary in the event of unforeseen circumstances before arrival. Any changes to the itinerary will be communicated to the client as soon as possible.

  1. PRICING
2.1 Included Services 
Prices quoted for our various safaris are based on the itinerary provided and include, unless otherwise specified, the following services: overnight stays in hotels, guesthouses, tents, or lodges; all meals as indicated; sightseeing as detailed in the itinerary; park entrance fees and ranger fees; airport transfers where applicable; ground transportation; English-speaking driver/guides; and bottled mineral water in the vehicle.
 
2.2 Excluded Expenses 
The following expenses are not covered: international and domestic airfare, visas and passports, meals not mentioned in the itinerary, drinks other than the mineral water provided in the vehicle, tips and gratuities for guides and accommodation staff, laundry, travel insurance, and other items of a personal nature.
 
2.3 Price Changes 
Prices listed on the website or quoted to clients are subject to change without notice and are not guaranteed until confirmed in writing.
 
2.4 Price Adjustments 
Raja Safari Holidays reserves the right to adjust prices at any time in response to fluctuations in exchange rates or increases in the cost of any tour elements. However, we will make every effort to minimize any increases.

3. EXECUTION OF TOUR
3.1 Wildlife Viewing 
While it is a privilege to observe animals in their natural habitat, wildlife and game viewing cannot be guaranteed. Caution must be exercised when viewing animals, and instructions given by tour guides or wildlife rangers should be carefully followed.
 
3.2 Gorilla and Chimpanzee Permits 
A gorilla or chimpanzee permit allows clients to track these primates but does not guarantee they will be in plain sight.
 
3.3 Accommodation 
Accommodation is typically based on twin or double-bedded rooms, or tents, with private bathrooms where possible. Single rooms may be available for an additional supplement fee, but availability cannot always be guaranteed.
 
3.4 Hotel Substitutions 
Raja Safari Holidays reserves the right to substitute equivalent or superior hotels. If an equivalent standard hotel is not available, Raja Safari Holidays may suggest the next best quality hotel or superior accommodation (additional charges may apply).
 
3.5 Transportation 
The mode of transport will depend on the number of clients and the chosen itinerary route. Every effort is made to ensure vehicles are in roadworthy condition, but no liability can be accepted for punctures, breakdowns, damage, or delays due to poor road conditions.
 
3.6 Drivers and/ Guides 
Experienced English-speaking driver/guides are an integral part of your tour. Only these drivers are permitted to operate Raja Safari Holidays’ vehicles. The driver’s decision on all matters, such as the route taken, is final.
 
3.7 Route and Arrangement Changes 
Raja Safari Holidays reserves the right to alter routes or arrangements, cancel the operation of any scheduled tour, or vary safari services in the event of unforeseen circumstances such as road closures, bad weather, issues with national parks or hotels, and security concerns. Alternative arrangements will be made as circumstances permit.
 
3.8 Use of Subcontractors 
Raja Safari Holidays reserves the right to employ subcontractors to provide all or part of the agreed services.
 
3.9 Right to Refuse Participation 
Raja Safari Holidays reserves the right to refuse any person from participating or continuing any tour if, in the opinion of Raja Safari Holidays or any other authority, the person behaves in a manner likely to cause danger, hazard, or inconvenience to others, or damage to property, environments, or ecosystems. No refunds will be provided, and Raja Safari Holidays shall not be liable for expenses incurred as a result of the termination.

4. PAYMENT
4.1 Booking and Confirmation 
All tours will be booked and confirmed only upon receipt of a 30% deposit of the basic program rate. Full advance payment of the permit fee is required to reserve gorilla permits.
 
4.2 Balance Payment 
The balance of the payment is due no later than 40 days prior to the safari, unless otherwise agreed upon.
 
4.3 Late Bookings 
Bookings made within 40 days of arrival must be paid in full at the time of confirmation.
 
4.4 Cancellation 
If payment is not received in accordance with these terms, Raja Safari Holidays reserves the right to cancel the booking.
 
4.5 Payment Methods 
Payments can be made via VISA credit card, bank transfer, or cash before the start of the safari. Please note that VISA credit card payments incur a 5% service charge, and credit card transactions must be made at least two months before the safari begins. Traveler cheques are not accepted.

4.6 Transaction Costs 
The costs of international transactions or the 5% service charge for credit card payments must be fully paid by the client.
 
5. CANCELLATIONS AND REFUNDS
5.1 Cancellation Requests 
All cancellation requests must be made in writing and will be effective on the date they are actually received by Raja Safari Holidays.
 
5.2 Cancellation Charges 
The following cancellation charges apply to the basic program rate:
  • 60 days or more prior to arrival: 10% charge
  • 59 – 32 days prior to arrival: 25% charge
  • 31 – 8 days prior to arrival: 50% charge
  • 7 – 3 days prior to arrival: 75% charge
  • 48 hours or less prior to arrival: 100% charge
Raja Safari Holidays reserves the right to deduct all incurred expenses from the money paid.
 
5.3 Non-Refundable Items 
Gorilla permits and air tickets are 100% non-refundable.
 
5.4 No Refunds for Unused Services 
No refunds will be provided for any unused services, late arrivals, or no-shows of any tour members.

6. COMPLAINTS
6.1 Reporting Complaints 
Complaints should be reported immediately to both the Raja Safari Holidays representative and the service provider. They will make every effort to resolve the issue promptly. If the issue is not resolved to the client’s satisfaction, the complaint must be submitted in writing within 30 days after the tour’s completion.

6.2 Liability for Unreported Complaints 
Raja Safari Holidays shall not accept liability for complaints that are not reported according to the above procedures.

  1. LIABILITY
7.1 Efforts to Ensure Service Quality 
Raja Safari Holidays shall make every effort to ensure that all arrangements and services offered as part of the safari are executed as specified and in the most efficient manner possible. However, the company does not have direct control over the provision of services by suppliers. Although each supplier is chosen with utmost care, Raja Safari Holidays does not accept liability for errors or omissions by such suppliers.
 
7.2 Limitation of Liability 
Raja Safari Holidays shall not be liable for any loss, damage, or injury of any nature whatsoever to person or property.
 
7.3 Responsibility for Personal Possessions 
While every care is taken, Raja Safari Holidays shall not be held responsible for direct or indirect costs related to the loss or damage of baggage or personal possessions.
 
7.4 Unforeseen Circumstances 
Raja Safari Holidays shall not accept liability or provide compensation for unforeseen circumstances beyond the company’s control or its staff, including but not limited to flight delays/cancellations, force majeure events such as war, riots, civil disturbances, terrorist acts, border closures, government actions, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disasters, extreme weather conditions, fires, or technical and mechanical issues with transport.
 
7.5 Documentation Responsibility 
It is the responsibility of the travel agency to ensure that all tour members have the appropriate passports, visas, travel permits, health certificates, and other required documentation for the safari.
 
7.6 Health and Safety Precautions 
Clients are responsible for taking proper medical and practical precautions regarding health and safety. Medical advice should be sought well in advance of traveling.
 
7.7 Travel Insurance 
Clients are strongly advised to obtain comprehensive travel insurance before coming to Uganda. 
 
7.8 Jurisdiction 
All claims are subject to the jurisdiction of the courts in the country where the cause of action arises.
